Getting Started

Hiring Process Steps

Requisition (Job Posting)

Sign into ADP Hiring Portal and create a Job Requisition.

Review Candidates

After your requisition has been fully approved, it will be posted to the Team FCA career site, which is visible to the public. Anyone may create a profile and apply for your position.

Advance Candidates

After you have reviewed a candidate's application thoroughly, return to the home page dashboard and locate the candidate again from the "Tasks" window. From there you can either advance or dismiss the candidate by clicking the " Advance" or " Dismiss" button in the upper right-hand corner.

Many directors in PA opt to conduct the interview process in this order:

  1. initial interview with candidate
  2. advance candidate  to Try-out Training
  3. conduct another interview with a panel

Pre-Onboarding

The Pre-Onboarding process consists of a number of steps, including a background check, pre-onboarding tasks the candidate must complete, and the official Offer Letter for the position (as well as the prospective staff period for Directors and Reps).


Below is the order that your candidate will proceed as they move through the onboarding process.

Director | Area Representative

  1. Tryout Training
  2. Potential additional interview
  3. Background Check/Pre-Onboarding Tasks
  4. Prospective Staff Period
  5. Fully Funded
  6. Offer Letter
  7. Finalize Onboarding

Admin | Ambassador | Associate Pre-Onboarding​

  3. Background Check/Pre-Onboarding Tasks
  4. Finalize Onboarding

Tip: Once your candidate has communicated with you that all their tasks are complete, you should receive an email "Congratulations your candidate is now prospective staff". If you do not receive that email within a week of completion, you will need to follow up with HR to confirm all task are complete.

Fully funded

After staff have completed boot camp and become fully funded they can now move from unpaid Prospective Staff to Paid Staff. Both hiring manager and candidate will receive emails with detailed information on what is next.


Please note that the Fully Funded and Boot Camp deadline is the last business day of the month prior to the month they will receive their first paycheck.

Offer Letter

After a prospective staff person has become "fully funded," the ADP Hiring Portal will automatically advance the candidate to finalize the pre-onboarding process.


The hiring manager will have tasks to complete to generate the offer letter.


Please note you may make position changes at this time however if you move from full to part time and that part time is what do I put here to reflect Michele, or do I add this earlier?


After the hiring manager has submitted the details for the offer letter,  Human Resources will create the offer letter and trigger the offer letter approval process. The offer letter must be approved by both the Hiring Manager's supervisor as well as the Regional Vice President (RVP). The candidate will now be notified how to review and accept the letter.

Final Onboarding Tasks

The final onboarding process requires the Hiring Manager and the candidate to complete final onboarding tasks in the ADP HR Portal. Both will receive emails with instructions.


The candidate will have 5 tasks to complete. Continue to be in constant communication with the candidate to insure that all tasks are complete. This process often brings about a missed step and the process can get delayed which can delay pay.


Remember, the hiring deadline is the 10th of each month! All final onboarding tasks must be completed by the 10th in order for your new hire to receive a paycheck that month.
